THIRD ANNOUNCEMENT

GOVST-V Meeting

Agenda, Registration & accommodation

Capital Hotel, Beijing, China

13-17 October 2014

 

Thank you all for your interest in planning to attend the GOVST-V meeting in Beijing. This year the main focus of the meeting will be on the new GOV Strategic Plan and most of the agenda will relate to presentations and discussion about our plans and activities for the future. In addition we will have all the typical presentations providing an update of progress since last year. This year we will also have a larger than usual number of observers and guests which should allow for an exciting meeting. To give you an overview of the current status of organisation please check the information below.

Visa: Please note that there will be a Chinese National Holiday between 1-7 October and Chinese embassies will be closed during that period. Please be advised to start your visa application asap if you have not already done so, to avoid disappointment.

Agenda: The meeting will run for 5 days (13-17 October). Mon, Wed, Thu and Fri (am) are allocated for presentations & discussions, while Tuesday (am &pm) will provide room for half-day meetings of four of the currently five Task Teams. The revised agenda is attached and can also be downloaded from the GOVST website. All further updates will be made available online.

Task Team half-day meetings: Four (of the five) GOV task teams will be able to use a half-day slot to discuss any matters related to their plans and activities with their members. Observers and guest are welcome to join these meetings. The TT slots are:

  • Tue am: OSEval-TT & SMRCP-TT (room no tbc)
  • Tue pm: IV-TT & COSS-TT (room no tbc)

TT co-chairs are responsible for the TT meeting agendas. Details will be provided closer to the time of the meetings.

Invited speakers: The agenda currently includes 3 presentations by speakers representing some of the effort and progress of Operational Oceanography in China:

  • Operational ocean satellite observations in China – Dr. Qingtao Song, National Ocean Satellite Application Center
  • Ocean in-situ observation network in China – Dr. Zhi Chen, State Oceanic Administration
  • Operational typhoon prediction in China – Dr. Yihong Duan, Chinese Academy of Meteorological Sciences

Registration: The meeting registration is still open and will also collect information about participation in the meeting dinner. If you have not yet filled it in please go to https://www.godae-oceanview.org/calendar/q/registration/?event_id=37 to complete the registration. You can check whether your registration was received in on the GOV website (https://www.godae-oceanview.org/outreach/meetings-workshops/annual-science-team-meetings/govst-v-meeting/attendees/).

Participation: We might have to limit the number of observers participating in the meeting. This is due to our meeting room only allowing a certain number of attendees. We will monitor registrations and will contact you in time about spaces. This does not apply to GOVST members or invited guests/presenters which are not affected by this limitation.

Hotel bookings: A room-block booking is available to participants of the meeting. To reserve/book a room please follow the instructions on the hotel booking website (https://www.godae-oceanview.org/outreach/meetings-workshops/annual-science-team-meetings/govst-v-meeting/registration/). Please note that having completed the registration form (word-doc) earlier in summer is no confirmation of the room booking. Please communicate directly with the hotel via the hotel booking form (see website).

Special event: Our hosts are planning to invite the meeting participants to visit the National Marine Environment Forecasting Center (NMEFC) in Beijing. More information to follow soon.

Dinner: Participants of the GOVST-V meeting are invited to take part in a dinner, which will be hosted by the NMEFC. More information to follow.

SECOND ANNOUNCEMENT

GOVST-V Meeting

Registration & hotel bookings

You are warmly invited to attend the 5th GODAE OceanView Science Team. We now need you to complete the registration and hotel bookings.

Registration: Attendance to this meeting requires you to complete

The registration form (optional, for visa purposes) see GOVST-V website (most of you have done this already)

The online registration (now open) including your preference regarding the meeting dinner (no need to submit a paper)

The hotel booking form (see on GOVST-V website)

Attending the GOVST-V meeting at the Capital Hotel in Beijing is free for all participants. In addition our host, Hui Wang, NMEFC has confirmed that also all breaks and lunches will be free for the meeting participants. GODAE OceanView is very grateful for the generosity and support NMEFC provides.

Agenda: We now have a preliminary agenda which is available from the GOVST-V meeting website.

Hotel bookings: To reserve/book a room in the Capital Hotel under the pre-arranged room-block please complete the attached hotel booking form (also available from the GOV website). Please provide all the required details and send the form to the Capital Hotel, which will in turn confirm your booking by email.

Please note that sending the form by email is NOT recommended as it contains credit card details. Instead the form can be sent by FAX (+86 10 65120321) to the Capital Hotel for the attention of Ms Jia (emmajia@capitalhotel.com.cn). Cancellation details are available from the hotel booking form.

The form also includes the option to book a hire car for pickup from the airport. If more than person needs picking up (at one time) you can provide a list of names on the form. Please make sure to consider 2-3 people per car max as luggage needs to be transported too.

The deadline for booking the hotel is the 26 September 2014.

FIRST ANNOUNCEMENT

GOVST-V Meeting

VISA & registration

We are getting closer to setting up the letters of invitation for all of those who need to apply for a VISA to travel to China for the GOVST-V meeting. We discussed the process of writing the VISA letters with Dakui Wang, NMEFC who puts a lot of effort into organising the next GOVST meeting in Beijing. We think the best way of sending you a letter of invitation is for you to provide us with the needed person details. Therefore please complete the attached form which asks for the appropriate information.

In the form we have also integrated a short registration, as we now need to know whether you are planning to come. Dakui has negotiated special room rates with the Capital Hotel (http://www.capitalhotel.com.cn/en/) in which we will hold our meeting. We now need to know whether you would like to take advantage of the negotiated room rates.

All you have to do is to open the attached file to enter the requested person information. When completed please return the file in an email to us (Dakui and I).

PRE-ANNOUNCEMENT

GOVST-V Meeting

As agreed the next GOVST-V meeting will be held in Beijing, China from the 13-17 October 2014. You are all cordially invited to attend and we hope to welcome you in Beijing in October.

The venue for the event will be the Capital Hotel (http://www.capitalhotel.com.cn/en/index.html) which was kindly reserved by our host, Dr Hui Wang. We will also be able to take advantage of a special hotel room rate (RMB 580-980), but participants can also choose different rooms, or different hotels nearby, according to their budgets. The hotel is located very close to the heart of Beijing -- Forbidden City, with lots of historical/cultural sites, western/Chinese restaurants around.

As you may need to apply for a visa to travel to China we have prepared an invitation letter and would be happy to send it to you if needed. Please let me know if you require an invitation and I will forward the letter.
